Return standards, with the measurements
Six areas, each with a threshold you can check yourself with a tape measure and a tread gauge. Nothing here is discretionary, and nothing here should be a surprise on collection day.
The standards
No charge
- Dents and dings up to 2 in in diameter, to a maximum of four on any single panel
- Stone chips on the leading edges that have not broken through to primer
- Scratches under 4 in that polish out and do not expose primer or bare metal
Chargeable
- Any dent over 2 in across, or a fifth dent on the same panel
- Creased or kinked metal, regardless of size
- Scratches through to primer or bare metal, or any rust bloom
Sample charge $150 per panel for paintless dent repair, $340 per panel for refinish
Paintless dent repair at your own body shop is almost always cheaper than our schedule. That is the whole point of the 90 day pre-inspection.
No charge
- Chips smaller than 1/4 in that sit outside the swept driver sightline
- Light sandblasting on the leading edge of the windshield
- Wiper haze that does not distort vision
Chargeable
- Any crack of any length, in any position
- Chips inside the swept driver sightline, whatever the size
- Cracked, missing or taped mirror housings and glass
Sample charge $450 windshield replacement, $185 per mirror assembly
A resin chip repair inside the first week costs about $95 and closes the item. A chip left to spread becomes a $450 windshield.
No charge
- Tread depth of 4/32 in or more across all positions, measured in the centre groove
- Matching size, load rating and speed rating on each axle
- Kerbing on the wheel rim under 1 in in length
Chargeable
- Any tyre under 4/32 in, or uneven wear indicating alignment neglect
- Mismatched sizes or load ratings on an axle, or a temporary spare fitted
- Bent, cracked or heavily kerbed rims, and any missing wheel cover
Sample charge $185 per tyre, $240 per wheel
Buy tyres yourself in the last quarter of the term. A set of four at a local commercial dealer runs well under our replacement schedule.
No charge
- Wear shine on seat bolsters and the driver side floor mat
- Scuffing on the load floor and the lower side liner
- Tears, burns and stains smaller than 1 in that a valet lifts
Chargeable
- Any tear, burn or stain over 1 in on a seat, headliner or door card
- Missing or broken trim, load restraints, cargo hooks or floor sections
- Odour that survives a professional valet, including smoke and chemical spills
Sample charge $225 per seat panel, $410 per headliner, $190 deep valet
Hose-out floors and vinyl seating in crew vans are worth the spec upgrade if your crews carry sealant, dye or produce.
No charge
- Wraps and decals that we fitted, removed by us at turn in at no charge
- Magnetic door panels, removed and the paint washed
- Cast vinyl that lifts cleanly with no ghosting
Chargeable
- Adhesive residue or ghosting from a third party wrap or decal set
- Calendered film that has bonded to the paint and requires heat and solvent
- Paint lifted or lacquer clouded during a removal you arranged
Sample charge $145 per vehicle for residue removal, refinish charged separately if the paint is lifted
Insist on cast vinyl with a laminate. Calendered film is cheaper on the invoice and more expensive at turn in, every time.
No charge
- Bolt-through mounts with sealing washers, as fitted by our upfit bay
- Factory roof and floor mounting points used as designed
- Accessory wiring taken from the upfitter switch bank through a fused take-off
Chargeable
- Self-tapping screws through the floor, side or roof with no seal
- Any penetration showing corrosion at the edge
- Accessory wiring spliced into the factory loom
Sample charge $240 per set for sealing and treating, $290 per vehicle for a spliced loom
This is the return item that surprises fleets most often, and the one that is entirely avoidable by upfitting with us at the start of the term.






The last 90 days
We inspect at your yard three months before the term ends, not on collection day. That is the entire point: you get time and a written estimate, so you can fix things at your own rates.
- Term minus 90 daysPre-inspection at your yardAn inspector grades every unit against the standards above and leaves a written estimate the same day. No charge, no obligation to use our repairers.
- Term minus 75 daysYou choose what to repairAnything on the estimate can be repaired at your own rates. Most fleets clear tyres and glass themselves and leave the panel work with us.
- Term minus 30 daysRenewal or return, decidedRenew into a new unit and the $495 disposition fee is waived. Return outright and the fee applies once per vehicle.
- Term endCollection and final gradeWe collect from your yard. The final grade is reconciled against the pre-inspection estimate and any item you repaired is signed off on collection.
The two charges fleets never see coming
Panel damage is obvious and people budget for it. These two are not obvious, they are specific to commercial fleets, and both are entirely avoidable at the start of the term rather than the end.

Shelving mounting holes
Self-tapping screws through a van floor, side or roof corrode at the edge within a Texas summer. Sealing and treating a set is $240 on our sample schedule. Bolt-through mounts with sealing washers, fitted at the start, cost nothing at the end and transfer into your next van.

Wrap adhesive and ghosting
Calendered film is cheaper on the invoice and bonds to the paint in this climate. Removal needs heat and solvent, which is $145 a vehicle for residue, and far more if the lacquer clouds. Cast vinyl with a laminate lifts clean, and removal is included when we fitted it.

Compare this against your current contract
If your existing lessor has not published thresholds like these, ask them for the return schedule in writing before you renew. It is the document that decides your final invoice.
